Privacy Policy

1. What this covers

CleanCloze (a product of Micciche Group LLC) is a closing back‑office used by title and settlement companies. This policy covers two kinds of information: the closing data a customer firm puts into the service — which includes non‑public personal information about buyers, sellers, and borrowers — and the ordinary information we collect from people who visit cleancloze.com or hold an account.

For closing data, the customer firm is the owner and we are the processor: we handle it on the firm’s instructions, to run the service, and for nothing else.

2. What we collect

• Closing data. The emails, documents, and figures a firm sends into its CleanCloze address or enters in the app: names, addresses, loan and payoff details, settlement figures, and the documents themselves. Bank account and routing numbers are stored as the last four digits only — never in full.
• Account data. Each user’s name, work email, role, and sign‑in records, including an audit log of actions taken in the app.
• Contact form. If you write to us through the site: the name, firm, email, and message you send.
• Technical logs. Standard server logs (IP address, time, request) kept for security and troubleshooting.

We do not run advertising trackers on cleancloze.com.

3. How we use it

Only to run the service: reading a firm’s closing documents into structured files, preparing settlement documents, reconciling escrow, sending and receiving the emails a file needs, billing per file, and keeping the service secure. We do not sell personal information. We do not use closing data for advertising, and we do not use it to build products for anyone other than the firm it belongs to.

4. Who else touches the data (subprocessors)

CleanCloze runs on a small set of infrastructure providers. Each receives only what its job requires:

• Supabase — database, file storage, and sign‑in accounts, on infrastructure in the United States.
• Render — application hosting, in the United States.
• Resend — sending and receiving the service’s email.
• Anthropic — the AI service that reads closing documents so the app can extract their contents into a file.

If this list changes in a way that matters, we will update this page and tell account owners.

5. How it is protected

Connections to the service are encrypted. Every user signs in with a password plus a two‑factor code from an authenticator app. Roles limit each person to what their job requires, each firm’s data is walled off from every other firm’s, actions are audit‑logged, and full bank account numbers are never stored. Money in a file cannot move without a person’s confirmation.

6. How long we keep it

While a firm’s account is active, its closing files are stored for the retention period the firm’s state requires for closing records, at no charge. When a firm leaves, it can export everything free, and we delete the firm’s data on its instruction once any legally required retention has run. Contact‑form messages and technical logs are kept only as long as they are useful for their purpose.

7. Your choices and questions

If your information is inside a firm’s closing file — for example, you bought or sold a property through a firm that uses CleanCloze — that firm controls the file, and requests about it go to the firm. For anything else, or any question about this policy, use the contact form on cleancloze.com.

8. Changes

If this policy changes in a way that matters, we will post the new version here with a new effective date and tell account owners before it takes effect.
